A folder with useful boundaries
Former Employer Record Folder
A former employer folder can give a saved document collection a clear home. Its purpose is to organize the records you already hold, with room for uncertainty and later clarification.
Give the folder one clear purpose
Start with an alias such as “Employer A” and a short description of the collection. Avoid calling the folder “complete,” “current” or “closed” unless the term describes a fact you can support. A folder title should help you navigate your files, not imply a verified financial status.
Document organization can happen separately from any decision about an account. This guide does not identify unlocated accounts, determine what an employer owes or recommend a change to a financial arrangement.
Keep four sections distinct
Original documents
Keep the files or papers as received. Separate your own notes from the content of a statement, letter or confirmation.
Document index
List document titles and covered periods in your own private workspace. The index points to evidence; it is not a replacement for it.
Working notes
Use plain labels such as “possible match” or “date needs clarification.” A note can be useful while remaining tentative.
Open questions
Keep a short list of relationships that the saved documents do not explain. Record whether an answer has been obtained, without rewriting the original question.
Keep a source trail for new information
When you add a document, record what kind of document it is and when you added it to your collection. The date added is a filing fact. It is different from the date printed on the document and from the period the document describes.
If information clarifies a previous assumption, update the working index rather than silently renaming every file. A short note about the correction can make a later review easier to understand.
Make the folder understandable after a long break
- Use a consistent employer alias across the index and timeline.
- Make uncertain relationships visible.
- Keep repeated saved copies separate from possible document revisions.
- Describe the collection as saved materials, rather than a verified official record.
The Printable Toolkit offers blank organizational prompts. It does not require you to share the folder or any document with this publisher.
